# Client handover — Real estate

The client handover with the items an agency cannot afford to lose: every campaign still running against a live listing, the vendor agreements behind them, the photography and who owns it, and the portal and office integrations everything depends on.

Everything else is the general handover, unchanged. One row per item, named exactly, verified from the receiving side, with ownership distinguished from access.

## How to use it

1. Copy this file, or the CSV version if you would rather work in a sheet.
2. List by category first, so a whole class of thing cannot be forgotten.
3. Name items exactly, with identifiers, not by description.
4. Have the receiving side verify each item, and record who and when.
5. Distinguish ownership transferred from access granted.
6. Write the risk if missed on every row, so the list can be prioritised.
7. Keep the notes: the reasons behind decisions are the part that cannot be recovered.

## The columns

**Item** (Text). The specific thing being handed over, named exactly: a campaign by its listing reference, a shoot by its date and photographer, a portal integration by the portal it connects to.

**Category** (Text). Its kind: account, asset, data, document, access right, relationship or obligation. Obligations matter more here than in any other category, because campaigns already sold to vendors have to be honoured by whoever arrives.

**Where it lives** (Text). The system it is actually in: the ad account, the agency system, the portal's back end, the photographer's library. Property assets are scattered by nature and the location is the hardest part to recover later.

**Access before** (Text). Who could reach it before, which in an agency is usually one coordinator for everything. Recording that is uncomfortable and it is exactly the risk this document exists to surface.

**Access after** (Text). Who can reach it afterwards, by name, and at least two current people for the ad account, the portal integrations and the payment method. A campaign that stops mid-flight because a card expired is a vendor conversation.

**Ownership transferred** (Text). Whether ownership moved or only access was granted, and for photography whether a licence moved at all. Images the office cannot reuse are images it does not own, whatever folder they sit in.

**Verified by** (Text). The person on the receiving side who confirmed it, by name, and for a portal integration that means sending a test enquiry through and watching it arrive.

**Verified on** (Date (YYYY-MM-DD)). The day it was confirmed. Listings sell and campaigns end weekly, so a live-campaign list verified a fortnight ago describes a different workload from the one being handed over.

**Risk if missed** (Text). What falls over if this is missed, in one line. For a live campaign it is that a vendor's money keeps spending with nobody watching it, which is the failure an agency can least afford to explain.

**Outstanding** (Text). What is still to be done and by whom: the campaigns for sold listings still to be ended, the licence terms still to be confirmed with the photographer, the reporting still owed to two vendors.

**Evidence** (Text). What shows the transfer happened: the live campaign list matched to vendor agreements, a test enquiry arriving through each portal path, the photographer's written confirmation of terms.

**Status** (Text). Not started, transferred, or verified. Verified on a live campaign means the receiving side can see it, change it and report on it, not that they were told it exists.

**Notes** (Text). What the receiving side cannot infer: which campaigns are vendor funded, what a campaign in each corridor has historically cost, which portals are worth the money here, the packages already sold.

## The client handover

| Item | Category | Where it lives | Access before | Access after | Ownership transferred | Verified by | Verified on | Risk if missed | Outstanding | Evidence | Status | Notes |
|---|---|---|---|---|---|---|---|---|---|---|---|---|
| | | | | | | | | | | | | |
| | | | | | | | | | | | | |
| | | | | | | | | | | | | |
| | | | | | | | | | | | | |

## Before you commit it

- Items are listed by category, so no whole class is forgotten.
- Every live campaign is matched to a current vendor agreement and a remaining budget.
- Photography ownership is recorded, including where it sits with a supplier.
- Portal and office system integrations are listed with who holds them.
- Every row was verified by somebody on the receiving side, with a date.
- Campaigns for sold or withdrawn listings have been ended rather than transferred.
- The notes carry the reasons behind decisions, not only the facts.
